Milton Hershey School (MHS) is seeking an Administrative Secretary for the High School Health Services & School Social Workers.  This role reports to the Senior Manager of the department and collaborates extensively with other Administrative Secretaries in the Division and throughout MHS.  MHS’s Senior Division serves over 900 students from 9th through 12th grade.  Founded in 1909 by Milton and Catherine Hershey, MHS is a cost-free, private home and school for over 2,000 pre-K through 12th grade students. Since its’ founding, the lives of more than 11,000 children from lower income and working-class families have been transformed through high-quality education and a positive, structured home life.  This position is located in Hershey, PA and is an in-person role. The Student Health Services & Social Work Department coordinates the development & delivery of the division’s student health services which includes medical, dental, psychological, behavioral and social work services to support the success of MHS students and achievement of their full potential.   The Administrative Secretary’s responsibilities include: 

  • Extensive calendaring & event coordination.   
  • Addressing urgent matters pro-actively & professionally.
  • Extensive record-keeping & ensuring records retention protocols are followed.
  • Pro-actively communicating and collaborating with others within MHS and with key collaborators. 
  • Drafting & finalizing communications, presentations, meeting minutes and reports.
  • Ensuring timely & effective communication with staff, students and other stakeholders.
  • Coordinating, consolidating and disseminating information on a pro-active basis.  
  • Processing financials and monitoring budgets.
  • Providing miscellaneous administrative support such as phones, filing, ordering materials, data entry, etc.
  • Project management.
  • Front office organization and greeter for students and visitors
  • Other duties as needed. 

Qualifications:

  • High School Diploma or GED required. Bachelors preferred.
  • At least 3 years of successful administrative support experience in a high-volume, fast-paced work setting.  Experience in a health care setting preferred.   
  • Proficiency in using Microsoft and Apple applications, as well as with databases. 
  • Experience with financial administration responsibilities desired. 
  • Exceptional ability to organize, multi-task, and prioritize competing responsibilities and deadlines. 
  • Demonstrated ability to pro-actively collaborate with others.
  • Exceptional communication skills – both written and verbal. 
  • Bilingual a plus (English & Spanish).    
  • High degree of detail and quality orientation, initiative, professionalism & good judgement, customer service orientation, and confidentiality required.
  • Candidates must demonstrate a high degree of integrity as all MHS staff are considered role models for students.  
  • Candidates should be eager to actively engage with students and their families/sponsors.
